This policy explains what information CommunityInspect, operated by ASG International Consulting LLC (“we”, “us”), handles when you use the CommunityInspect iPad app, the CommunityInspect web dashboard, or this website, why we handle it, how long we keep it, and what you can ask us to do with it.
The short version
- We collect only what is needed to run property inspections and send their reports.
- The iPad app does not collect your location, does not track you across other apps or websites, and has no advertising and no analytics.
- We never sell personal information or share it for advertising.
- The management company or association that holds an account controls its community’s records. We keep and process them on its behalf.
- You can ask us to access, correct or delete information by using the contact options at the end.
What we collect
People who use the dashboard or the iPad app
Managers, inspectors and board members are invited by their management company. For each of them we keep a name, email address, an optional phone number, their role and community, their password (stored only as a one-way hash, so no one can read it), and the time they last signed in. When someone is signed in to the web dashboard, we keep their session together with the IP address and browser details of that session, so the session can be secured and ended.
Properties and owners
Associations add their properties (addresses, lot or unit numbers) and the owners of those properties: names, and any contact details the association chooses to provide. Owners do not have accounts. They receive their reports through a private link that expires.
Inspections and photos
Inspectors record inspection results, notes and photos, with the time each photo was taken and the name of the inspector. Photos are taken only when the inspector taps the camera button, or chosen from the photo library only when the inspector picks them. Each photo is resized and re-encoded on the device before it is stored, which removes its embedded metadata, such as any location the camera may have recorded.
This website
When you request a demo or send us a message, we keep what you type into the form: your name, email address, optional phone number, company, number of communities, and your message. We use it only to reply to you.
Technical information
Like any website, our hosting provider’s servers record standard request logs, including IP addresses, to deliver the site and protect it from abuse. We use IP addresses briefly to limit repeated form submissions.
What the iPad app does and does not do
- It asks for access to the camera and the photo library only to attach photos to inspections.
- It does not collect location, contacts, microphone audio or any biometric data.
- It does not track you, and it contains no advertising and no analytics or crash-reporting services.
- It keeps inspection data on the iPad so inspectors can work offline, and sends it to our server when the inspector syncs. The sign-in token is kept in the iPad’s secure keychain. An inspector can clear the data stored on the iPad from the app’s Settings.
How we use information
We use information only to provide the service: to let people sign in, carry out and record inspections, track violations through each association’s process, produce and share reports, send account and billing emails to managers, keep the service secure, and reply to enquiries. We do not use it for advertising and we do not sell it.
Who can see it
- People in the same community, according to their role. Each community’s records are kept separate from every other community’s.
- Property owners, who see their own report through the link they are sent.
- Our service providers, which store and deliver the service for us: our web hosting provider, which also delivers our email. They may use the information only to provide those services to us.
- Authorities, when the law requires us to disclose information.
Records that belong to an association
The management company or association that holds an account decides what is recorded about its community, its properties and its owners, and how long it is kept. We process those records on its behalf. If you are a property owner and want to see, correct or remove information about you, please contact your association or management company first. We will help them respond.
How long we keep information
- Inspection records, photos and reports are kept for as long as the association needs them. Florida requires associations to keep these records for seven years. Because they are evidence, a deleted inspection record is set aside rather than destroyed.
- Report links expire, by default after 30 days, and can be withdrawn sooner.
- User accounts are kept while the person has access, and are closed when their management company removes them.
- Website enquiries are kept while we are in contact with you, and deleted on request.
- Backup copies are kept for disaster recovery and are replaced on a rolling schedule.
Cookies
We use only the cookies the service needs to work: a sign-in session for the web dashboard, and a security cookie that protects forms from forged requests. We use no tracking or advertising cookies, and this website loads nothing from other companies.
Security
All traffic is encrypted with HTTPS. Passwords are stored only as one-way hashes. Report PDFs are stored privately and can be opened only through their expiring links. No method of storage or transmission is perfectly secure, but we work to protect your information and will notify affected customers of a breach as the law requires.
Your choices
You can ask us for a copy of the information we hold about you, or ask us to correct or delete it. Inspectors, managers and board members can also ask their management company, which can update or remove their account. We will answer within 30 days. Some records, such as inspection evidence an association must keep, may have to be retained until the end of their legal retention period; if so, we will tell you.
Children
CommunityInspect is a business service for property management. It is not directed to children under 13, and we do not knowingly collect information from them.
Changes to this policy
If we change this policy, we will post the new version on this page with a new effective date. If a change is significant, we will also tell the managers of every community by email.
